Complete Trade Show Setup Checklist for Exhibitors

  • Aug, 19, 2026

A trade show setup checklist helps exhibitors avoid missed graphics, missing tools, freight delays and on-site confusion. The checklist should begin before production and continue through post-show follow-up.

Before production

  • Confirm booth size, show dates and venue rules.
  • Review height limits, electrical rules and flooring requirements.
  • Approve final booth layout and traffic flow.
  • Check artwork dimensions, bleed, resolution and color requirements.

Before shipping

  • Inspect frames, graphics, counters and accessories.
  • Pack tools, spare parts, lights and cables.
  • Label each case with booth number and company information.
  • Prepare packing lists, invoices and return labels.

At the venue

  • Check that all cases arrived.
  • Assemble the main structure before placing small accessories.
  • Install graphics with clean hands or gloves.
  • Test lighting, monitors and lead capture tools.
  • Remove empty cases according to venue rules.

During the show

  • Keep brochures, samples and staff bags organized.
  • Track lead quality, not only lead count.
  • Take booth photos for future improvement.

After the show

Pack components in reverse order, check graphics for damage and confirm return freight. After the event, review leads, booth performance and any setup issues before the next show.
