How to Ship a Trade Show Booth Domestically and Internationally
Shipping a trade show booth is not the same as shipping ordinary goods. Exhibitors need to coordinate packing, freight timing, venue rules, customs documents and return shipment. A clear plan reduces delays, damage and surprise costs.
Start with the show manual
The show manual explains delivery windows, advance warehouse dates, direct-to-show rules, labels, carrier requirements and material handling fees. Read it before booking freight. Missing a delivery window can create extra charges or delay setup.
Pack by setup order
Hardware, graphics, tools and accessories should be packed in a way that supports installation. Label every case with booth number, company name, event name and contact information. Put the first setup components near the top of each case when possible.
Domestic shipping
For domestic shows, compare parcel, LTL and dedicated freight based on size and timing. Small fabric displays may ship in compact cases. Larger modular booths may need palletized freight and liftgate planning.
International shipping
International events require commercial invoices, packing lists, HS codes and sometimes temporary import documents. Build in extra time for customs and local delivery. Reusable displays should be packed for both outbound and return shipment.
Return freight
Plan return labels before the show begins. After closing, the team may have limited time to repack and hand off cases. Clear labels and photos of the packed booth help reduce mistakes.
